Terms and Conditions

The EA Campus Conference 2026

These Terms and Conditions apply to all ticket purchases and attendance at The EA Campus Conference, organised by EA Campus, operated by PPPA Ltd., taking place 22–24 April 2026 at ISH Venues, London, and online. By purchasing a ticket and/or attending the event, you agree to the following Terms and Conditions.

1. Event Organiser

The EA Campus Conference is organised by:

PPPA Ltd.
Trading as The EA Campus

Throughout these Terms and Conditions, the organiser may be referred to as “EA Campus”, “we”, “us”, or “our.”

2. Ticket Types

Tickets are available in the following formats:

  • Full Access Pass
  • Full Conference Pass
  • Conference Online Pass
  • Masterclass + One Day Pass
  • One-Day Conference Pass
  • Masterclass Pass

Each ticket grants access only to the sessions and dates specified at the time of purchase. Tickets are valid for one named attendee only unless otherwise stated.

3. Payment and Confirmation

Full payment must be received at the time of booking in order to secure your place.

Once payment has been processed, you will receive a confirmation email containing your ticket and event information. It is the responsibility of the ticket holder to ensure the email address provided during registration is correct.

4. Refund Policy

Due to venue commitments, speaker arrangements, and the limited number of places available, all ticket purchases are final and non-refundable. No refunds will be issued for:

  • Change of personal circumstances
  • Travel disruption
  • Scheduling conflicts
  • Failure to attend the event

However, tickets may be transferred to a colleague if you are unable to attend. All transfer requests must be submitted in writing to The EA Campus before the event. If an attendee is unable to travel or attend in person, The EA Campus may offer the option to convert the ticket to online attendance where technically feasible.

5. Ticket Transfers

If you cannot attend, your ticket may be transferred to another person within your organisation or network. Transfer requests must be made in writing prior to the event and include the name and email address of the new attendee. The EA Campus reserves the right to refuse ticket transfers where reasonable.

6. Event Changes

The EA Campus reserves the right to make changes to:

  • the programme
  • speakers
  • session timings
  • workshop formats
  • venue rooms

These changes may occur where necessary due to speaker availability, logistical considerations, or other operational requirements. Such changes do not entitle ticket holders to a refund.

7. Event Cancellation or Postponement

In the unlikely event that the conference must be cancelled or postponed due to circumstances beyond our control, including but not limited to:

  • venue closure
  • government restrictions
  • public safety concerns
  • natural events
  • Travel disruption affecting key speakers

The EA Campus will notify all ticket holders as soon as reasonably possible. Where the event is rescheduled, all tickets will automatically transfer to the new event date. Refunds will not normally be issued in these circumstances.

8. In-Person Attendance

The conference venue is:

Attendees are responsible for arranging their own:

  • travel
  • accommodation
  • insurance
  • personal expenses

The EA Campus cannot be held responsible for costs incurred outside the event itself.

9. Online Attendance and Live Streaming

Online attendees will receive access details prior to the event. EA Campus cannot guarantee uninterrupted streaming due to factors outside our control including:

  • internet connection
  • local IT systems
  • platform disruptions

It is the responsibility of the ticket holder to ensure they have adequate internet access and equipment.

10. Access to Recordings

Certain sessions may be recorded. Access to recordings will be provided as follows:

Online Pass holders:
Access to recordings for 3 months after the event

In-person ticket holders:
Access may be provided depending on the ticket type purchased. Recordings are for personal use only and must not be shared, copied, or distributed.

11. Intellectual Property

All event materials, including but not limited to:

  • presentations

  • recordings

  • slides

  • downloadable resources

remain the intellectual property of EA Campus and the individual speakers. These materials may not be reproduced, distributed, or shared without prior written permission.

12. Code of Conduct

EA Campus is committed to creating a professional, welcoming environment for all attendees. By attending the event you agree to behave respectfully toward:

  • speakers

  • attendees

  • staff

  • venue personnel

EA Campus reserves the right to remove any attendee whose behaviour is disruptive, unsafe, or inappropriate. No refunds will be issued in such circumstances.

13. Photography and Recording

Photography and video recording may take place during the conference. By attending the event, you acknowledge that images or recordings of attendees may be used for:

  • marketing materials

  • social media

  • future promotional content

If you do not wish to appear in photographs or recordings, please inform the event team on arrival.

14. Liability

EA Campus will not be liable for any loss, damage, injury, or personal inconvenience suffered by attendees during the event except where required by law. Nothing in these Terms excludes liability for:

  • death or personal injury caused by negligence

  • fraud or fraudulent misrepresentation

15. Data Protection

By purchasing a ticket you agree to provide basic personal information including:

  • name

  • email address

  • organisation

This information will be used solely for event communication and administration in accordance with our Privacy Policy. Your data will not be sold to third parties.

16. Group Bookings

Group discounts may be available for organisations registering multiple attendees. For group bookings:

  • Each attendee must be registered with their full name and email address prior to the event.

  • Group tickets may not be split across different organisations without prior written approval from EA Campus.

  • Access to event materials, online streams, and recordings is limited to the number of attendees included in the booking.

  • Sharing login credentials, access links, or recorded content beyond the registered participants is strictly prohibited.

EA Campus reserves the right to suspend access without refund if group access is shared beyond the permitted number of users.

17. Attendee Substitutions

If the original ticket holder is unable to attend, substitutions are permitted. Substitution requests must:

  • Be submitted by email to EA Campus

  • Include the full name and email address of the replacement attendee

  • Be received no later than 48 hours before the event begins

EA Campus cannot guarantee updates to printed materials, name badges, or event systems for substitution requests received after this deadline.

18. Health, Safety and Accessibility

All attendees must comply with the health and safety regulations of the venue and event organisers. Attendees agree to:

  • Follow any instructions provided by venue staff or event organisers

  • Respect venue policies regarding safety, accessibility, and conduct

If you have specific accessibility requirements, dietary needs, or support requests, please notify EA Campus in advance so reasonable arrangements can be made where possible. EA Campus will make reasonable efforts to accommodate accessibility needs but cannot guarantee that all requests can be fulfilled without prior notice.

19. Governing Law

These Terms and Conditions are governed by the laws of England and Wales. Any disputes arising from these Terms shall be subject to the jurisdiction of the courts of England and Wales.
